How to Calculate Who Owes Whom: Minimizing Transfers

The two-step method behind every expense-splitting app — explained on one worked example, no formulas required.

Published:

After a trip, everyone has paid for something and nobody knows the net result. The instinct — "everyone pays everyone back their bit" — produces a chaos of tiny transfers. There's a cleaner way, and it's only two steps: compute balances, then settle them with as few payments as possible.

Short answer: work in two steps. First each person’s balance — what they put in minus what was spent on them. Then reduce the debts to the minimum number of transfers: for a group of five that is usually 2–4 payments instead of a dozen criss-crossing ones.

Step 1: Balances

A balance is simply what you paid − your fair share. Take three friends who spent 6000 total, so each owes a share of 2000:

PersonPaidFair shareBalance
Anna48002000+2800
Boris8002000−1200
Vera4002000−1600

Anna is owed 2800; Boris and Vera together owe 2800. Balances always sum to zero — if yours don't, there's an arithmetic error.

Step 2: Settle with minimal transfers

Now just move money from the negatives to the positives. Boris sends Anna 1200, Vera sends Anna 1600 — done. Two transfers instead of the six you'd get from "everyone pays everyone." The rule: match the biggest debtor to the biggest creditor, settle whatever you can, repeat. With more people it's the same idea — the number of transfers never needs to exceed the number of people minus one.

Why this matters more with bigger groups

For six people, naive "pay everyone back" can mean fifteen transfers; the balance method needs at most five. That's the difference between a settled trip and a group chat still arguing a week later. The same balances underpin a shared expenses spreadsheet — the app just does the second step (the minimization) for you, which spreadsheets can't.

Let the app do both steps

In DeliBabki you add expenses as they happen and marking who paid; the app keeps the balances live and shows the minimal set of transfers to settle up. It's the core of any good expense-splitting strategy.

Frequently asked questions

How do I calculate who owes whom?

Balance = paid − fair share; positives are owed, negatives owe, and they sum to zero.

How do I minimize transfers?

Move money from negatives to positives, biggest to biggest — at most people−1 payments.
