How to Celebrate Employee Birthdays: A Birthday Calendar, Team Rules, Announcements and a Shared Fund

Three ways to organise birthdays at work, a short set of team rules, how to keep a birthday calendar and ready messages for the chat, email and the morning meeting.

Published:

In every team someone ends up in charge of birthdays. Without rules it goes the same way: one colleague gets a certificate, another a cake, a third is forgotten, and by spring everyone is tired of monthly collections.

Short answer: choose one model — a collection per birthday, a shared fund with a fixed monthly contribution, or the company’s budget — and write down four rules: the same gift budget for everyone, more for milestone birthdays, who is in charge, and what happens with people who opt out. Keep a birthday calendar only with consent.

Messages

  1. Reminder to organisers: “Colleagues, Anna’s birthday is next Tuesday. Gift from the fund — a certificate and flowers; I’ll buy them on Monday.”
  2. Monthly post: “Birthdays this month: Anna (7th), Sergei (15th), Olga (28th). Cake on the last Friday!”
  3. Morning meeting: “Before we start — Anna has a birthday today. Anna, thank you for keeping this team together. Happy birthday!”

Frequently Asked Questions

Do you need consent to publish colleagues’ birthdays?

It is better to ask. A date of birth is personal data under Russian law; collect dates voluntarily and without the year.

How much should people pay into a birthday fund?

Number of birthdays per year × gift budget, plus extra for milestone birthdays, divided by the number of members and by 12. For 15 people with a 2,000 RUB gift and one 5,000 RUB milestone a year it is about 200 RUB a month each.
